Terms & Conditions
Terms & Conditions – The Baby Cloud – October 2026
THE BABY CLOUD TERMS & CONDITIONS
YOUR BOOKING
Your booking is to attend a term or one-off special Baby Development class. Our courses run throughout the year in accordance with our published term dates. All term dates and details are available on our website booking page.
When signing up to a Baby Cloud class, details of the courses you are booked onto, the dates and times and the venue are clearly displayed on our website.
Towards the end of each term we send you details on how to rebook either by email or text message. Follow the link to the customer login page where details on next term's dates, times and the cost of the course will be shown. VIP priority booking is firstly offered to current customers for 24 hours prior to being released to the waiting lists and then the public.
Your space in class for the next term is not secured until you book and pay online. You will receive an order confirmation once your payment has been received. Spaces are allocated on a first come, first served basis.
Customers may move class days or times due to the ages of their children and progression onto their next age group.
FEES
Fees are payable in full through our online booking system prior to the start of the first class.
Your booking fee is non-refundable unless you notify The Baby Cloud that you will no longer require your space in class no less than one week prior to the first day of term.
Should you require a refund there will be an £10 admin fee deducted within the transaction.
Refunds take between 5 and 10 working days to reach your account.
OFFERS/PROMOTIONS
The Baby Cloud retains the right to run promotional offers and competitions from time to time. These offers can be withdrawn at any time.
Promotions and discounts cannot be applied retrospectively to bookings already made.
CLASSES & BABY ACADEMY SENSORY BUNDLE
If you book classes within the Baby Academy at The Baby Cloud, you will be required to purchase a Baby Academy Sensory Bundle.
This kit is yours to keep. It will be used as part of our term's kit in classes and for you to use at home.
Only The Baby Cloud items will be allowed in class to ensure safety and meet our insurance requirements.
The kit is purchased on the understanding that it is not refundable at any point. If there is a faulty item, an exchange will be offered. Please bear this in mind when considering investing in your Sensory Academy Bundle.
Some of these items will only be suitable for supervised play and some will be sensory aids which an adult will need to use in order for baby to enjoy.
If you forget to bring your bundle or bundle top-up kit items to class, The Baby Cloud may not be able to supply you with replacement items in class.
The equipment provided in your Sensory Bundle will be yours to keep. Any further equipment provided for you to keep within The Baby Cloud classes will also be yours to keep.
Please note, some of these items will only be suitable for supervised play and some will be sensory aids which an adult will need to use in order for baby to enjoy. The bag itself is not suitable for baby play due to the string handle.
Should you receive the massage kit as part of our New Baby Class, please note the bag, massage oil and flight support cushion are not suitable for baby play.
IMPORTANT: It is the parent or carer's responsibility as the supervising adult to SUPERVISE BABY and all equipment within The Baby Cloud AT ALL TIMES, prior to, during and following class.
Not all equipment is safe for baby play. Safety advice and guidance from the Class Leader and the guidance booklet must be adhered to at all times.
Babies must NOT be left unsupervised within the class environment or at home with the bag or items from the Sensory Academy Bundle, or any extra elements shared in class.
CLASS ATTENDANCE
By booking a class/event, you agree that both you and any child under your care or supervision are able to take part in our classes or any other services which you order from us, and that it would not be harmful to either your or your child's health, safety, comfort or physical condition to do so.
Please note, we will not be liable for any loss, injury or damage suffered where you do not tell us about a relevant medical condition, or you or the child undertake an activity which you are aware, or should reasonably have been aware, may be detrimental to you or the child.
If you are unsure whether you or your baby should participate in an activity because of a health or medical concern, please seek appropriate advice from a healthcare professional.
MOBILE BABIES IN CLASS
Mobile babies are most welcome in classes and their freedom of movement is encouraged.
There will be occasions where we require you to keep your baby with you, either for their safety or for the enjoyment of the activity.
Parents and carers remain responsible for supervising their baby throughout the class.
ONE PARENT POLICY
During busy periods, we may only be able to facilitate one parent or carer attending class with one baby.
If parents of twins are attending, two adults may attend, one with each baby.
We reserve the right to impose this restriction where necessary due to venue capacity, safety or other operational requirements.
MISSED CLASSES & HOLIDAYS
We are unable to give refunds for, or carry over to a future booking, class sessions that you do not attend.
The Baby Cloud allows you to purchase the Baby Academy Sensory Bundle as part of joining our programme. The kit has been put together to support you in your baby's development throughout their first year.
Should you not be able to attend a class, the kit is there to help you enjoy sensory activities at home. Use the supporting documents for play ideas and health and safety guidelines to make the most of each item.
CANCELLATION
As a consumer, you may have a statutory right to cancel a service purchased online within 14 days of entering into the contract.
If your course starts within the 14-day period, your cancellation rights may still apply, but you may be required to pay for services already provided up to the point you cancel.
There will be an £10 Administration fee deducted at the point of a refund being issued.
Refunds will normally reach your account within 5 to 10 working days.
The Baby Cloud is under no obligation to refund or transfer your money in the event that you are unable to attend part of or the entire course, except where required by law or otherwise specified within these Terms & Conditions.
We regret that we cannot guarantee to offer an alternative for missed lessons. However, we will try where suitable availability exists.
Where a face-to-face class has to be cancelled due to factors beyond our reasonable control, we may offer an appropriate alternative, which could include an alternative session, online content or a pre-recorded session where suitable.
Details of any alternative arrangements will be communicated to affected customers.
ADVERSE WEATHER & FORCE MAJEURE EVENT
Force Majeure Event means an event beyond the reasonable control of The Baby Cloud including, but not limited to, strikes or other industrial disputes, failure of a utility service or transport network, notifiable disease, war, riot, civil commotion, malicious damage, compliance with any law or governmental order, rule, regulation or direction, accident, breakdown of plant or machinery, fire, flood or storm.
The Baby Cloud shall not be liable to the Customer as a result of any failure to perform its obligations under this Contract as a result of a Force Majeure Event, subject to applicable consumer law.
In adverse weather conditions, The Baby Cloud is under no obligation to refund lessons that may be missed due to local adverse weather when the venue and surrounding area are safe and accessible and lessons are held.
We regret that we are unable to offer automatic refunds or rescheduling of lessons where adverse conditions local to you prevent you from attending a scheduled class.
Where a face-to-face class has to be cancelled due to factors beyond our reasonable control, we may offer an appropriate alternative such as an online recording of the session. Details will be communicated to affected customers.
PRE-RECORDED CLASSES
If you are offered access to a pre-recorded class in place of your regular class, you will normally have one week to view your recorded class.
For the protection of our class content, access to these links is time limited.
We are not able to offer additional make-up classes where a pre-recorded session has been provided as the agreed alternative to a cancelled session.
HEALTH & SAFETY & LIABILITY
All customers, big and small, take part in classes with appropriate care and supervision.
The Baby Cloud takes reasonable steps to provide safe classes, equipment and activities. Parents and carers remain responsible for supervising their own baby or child and for following the safety guidance and instructions provided.
It is your responsibility to seek appropriate medical advice regarding any pre-existing condition of a participant and to disclose relevant information to us before attending where it may affect safe participation.
Should anything change with you or your baby's health, it is the parents or carers responsibility to update relevant records within our booking system and inform your Class Leader where appropriate.
Your child or children remain your responsibility during the class. Please supervise them closely during the session and at home, particularly during the use of props and equipment, following guidance from your Sensory Bundle Booklet or Class Leader.
Do not allow your child unsupervised access to props or equipment.
Whilst The Baby Cloud takes reasonable steps to support the safety and comfort of you and your child during sessions and when using Baby Cloud equipment at home, you are responsible for following the instructions and safety information provided.
At all times please follow the reasonable instructions and guidance of your Class Leader, including guidelines imposed by the venue or relevant authorities.
Nothing within these Terms & Conditions is intended to exclude or limit liability where it would be unlawful to do so or affect your statutory consumer rights.
ILLNESS POLICY
You must not attend a class/event if you or your child are unwell or could reasonably pose an infection risk to other families.
You should not bring your child to class if they have symptoms of a potentially contagious illness, including fever, vomiting, diarrhoea or another infectious condition.
Please follow current NHS or other relevant public health guidance where appropriate.
If you are unsure whether you or your baby should attend, please contact your Class Leader before the session.
VIDEO & PHOTOGRAPHY
From time to time we may request to take photographs or shoot video during classes to use for marketing and promotional purposes, which may include, but is not limited to, use on social media, promotional materials or our website.
You will be asked at or prior to the class where this takes place whether or not you consent to you or your baby being included in these images or footage.
Where identifiable images are used in this way, appropriate consent will be obtained and their use will be handled in accordance with our Privacy Policy. No additional personal information or names will be linked to images unless specific additional permission has been sought.
The Baby Cloud is happy for you to take photographs and short videos of your own child during classes.
Please be mindful of the privacy of other families. Where possible, photographs and videos should focus on your own baby and avoid including identifiable images of other babies, parents, carers or team members.
If you wish for another child to be identifiable in a photograph or video, please seek permission from the adult accompanying that child before taking the photograph or recording.
We ask that everyone remains sensitive to the feelings and privacy of others and stops photographing or filming if asked to do so by the Class Leader or another attendee.
Photography or filming must not disrupt the class, compromise safety or interfere with the experience of other families.
Substantial parts of a Baby Cloud class, teaching sequence or programme content must not be recorded. Class content must not be reproduced, distributed, published or used for commercial purposes.
The Baby Cloud continually strives to improve the teaching standard of our workforce. On occasions, we may video record a lesson being taught by a Class Leader for training, assessment or quality assurance purposes.
Where this happens, everyone attending will be informed in advance. Recordings will be handled securely and used only for the stated training, assessment or quality assurance purpose unless separate consent for another use has been obtained.
Any class attendee repeatedly filming or photographing lessons contrary to these Terms & Conditions may be asked to stop filming and, where necessary, leave the class.
WHATSAPP & COMMUNITY GROUPS
From time to time, your local Baby Cloud franchise may offer an optional WhatsApp group for a particular class or a wider local parent community.
These groups are intended to help parents connect with one another and develop a supportive local community. As well as Baby Cloud information, conversations may include appropriate local activities, meet-ups, walks, soft play and other opportunities for parents and babies within the local area.
Participation is voluntary.
All members are expected to communicate respectfully. Inappropriate, offensive, unlawful or harmful content is not permitted and may be removed. Where necessary, individuals may also be removed from the group.
The Baby Cloud may moderate these groups but is not responsible for organising or supervising independent meet-ups, activities or services discussed or arranged between parents.
Please remember that joining a WhatsApp group may make your telephone number and other profile information visible to other members, depending on your WhatsApp privacy settings.
Baby Cloud WhatsApp groups should not be used as a source of individual medical, developmental, mental health or emergency advice.
Separate guidance may be provided when joining a Baby Cloud community group.
LOST PROPERTY
Any belongings brought onto the premises are done so at your own risk. The Baby Cloud will not be held responsible for items lost in class or left behind, except where liability cannot legally be excluded.
Where possible, found items will be retained for a reasonable period or dealt with in accordance with the venue's own lost property arrangements.
WITHDRAWAL OF SERVICE
The Baby Cloud may at its discretion refuse entry to a client to its courses if it is felt that the client's behaviour, or the behaviour of those associated with the client, is unreasonable, unsafe, abusive, discriminatory or seriously disruptive.
We require clients to be suitably dressed within a session. Where clothing presents a safety or appropriateness concern, entry may be refused.
CLASS LEADER SUBSTITUTE
Whilst it is our policy that we endeavour to ensure you always have the same Class Leader, we cannot guarantee this as teachers may become ill, leave or otherwise be unavailable.
Due to the thorough nature of our training, we may occasionally need to have a new Class Leader teaching your class. They will have completed the relevant stages of their training but may need to teach live classes in order to complete their assessment process.
Whilst we always try to limit disruption, this is a necessary part of our commitment to quality.
